Outlook Mail Setup

How to set up email in Outlook 2016 or Office 365

                                This guide takes you step-by-step through the process of setting up a new email account in 

                                Outlook 2016 or Outlook for Office 365.

                                If the Mail account is already set up, but giving errors – then refer to our troubleshooting

                                guides for Outlook 2016 or Office 365.

Replace example.co.za with your domain name.

  1. Launch Outlook

  2. Select File on the top left menu bar

  3. Select the Add Account button in the middle of the screen, then Account Settings

  4. Insert your email address

  5. Select Advanced options, then select Let me set up my account manually  > Connect

  6. This temporary screen will display 

  7. This screen will display the various account options – select POP

  8. Server Settings: (Note that some versions of Outlook don’t allow you to adjust server settings at this stage. In these cases, complete the account setup and then check your server settings by going to

 File > Info > Account Settings dropdown > Server Settings).

- Incoming mail: add mail. before your domain name e.g. mail.example.co.za

Port 143 (or 110 for POP)

Encryption method: None

Require logon using Secure Password Authentication (SPA) is unticked

- Outgoing mail: add smtp. before your domain name e.g.smtp.example.co.za

Change Port to 587 (not 25)

Encryption method: None

Require logon using Secure Password Authentication (SPA) is unticked

  9.  Click Connect

 10. You will now be prompted for the password

 11. Your setup is complete!

How to set up email in Outlook 2016 for Mac

                                                             This guide takes you step-by-step through the process of setting up a new email account in                                                               Outlook 2016 for Mac.

                                                             

 

                                                            If the Mail account is already set up, but giving errors – then refer to our

                                                            Troubleshooting guide.

                                    

                                                             Replace example.co.za with your domain name

Add your mail account

  1. Launch Outlook for Mac
  2. Select the Tools tab and then Accounts

  3. A new window will open which will list any other accounts already set up

  4. At the bottom left, Click the ‘+‘ button and then New Account… 

 

   5. Add your email address and click Continue

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

  6. The programme will unsuccessfully search for the provider. Select IMAP/POP

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Enter your account information

  • Choose POP according to your preference.

  • Ensure that the User Name is the full email address in lower case.

  7. Incoming server

  •       add mail. before your domain name

  •       Untick Use SSL to connect (If SSL is required, see Enable SSL for Email)

  8. Outgoing server

  • add smtp. before your domain name

  • Untick Use SSL to connect (If SSL is required, see Enable SSL for Email)

  •   Change the port number from 25 to 587 

 

  9. Click Add Account

 

 

 

 

 

 

 

 

 

 

 

 

  10.  Click Done

 

 

 

 

 

 

 

  11. You’re not quite done yet:

  • All settings should be correct on this screen – now choose More Options

Further Outgoing server settings 

  • Authentication: Use the dropdown arrow to select User Name and Password

  • Enter in your User name (full email address) and Password

  • Ignore Unqualified domain

  • Click OK

How to set up email in Outlook 2013

                                            This guide takes you step-by-step through the process of setting up a new email account

                                             in Outlook 2013.

 

 

                                             Replace example.com with your domain name

 

  1. Launch Outlook

  2. Select File on the top left menu bar

  3. Select the Add Account button in the middle of the screen

  4. Choose Manual Setup or additional server types > Next

  5. Select POP > Next

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Account settings

  6. Enter all the relevant details (POP or IMAP) and then select the More Settings… button.

  • Outlook will auto-fill your User Name – please ensure you fill in your entire email address as the username

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

Check Outgoing Server settings

  7. Select the Outgoing Server tab

  • Ensure that the My outgoing server (SMTP) requires authentication checkbox is ticked

  • Ensure that you have selected Use same settings as my incoming mail server

Check Advanced SMTP settings

  8. Select the Advanced tab and ensure that your settings are as belowPOP port settings

     Incoming 110, outgoing 587

  • Not ticked: This server requires an encrypted connection (SSL)

  • Use the following type of encrypted connection is None

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

  1. Click OK and then Next.

  2. Let the test complete and then click Close

How to set up email in Outlook Mobile

                                      This guide takes you step-by-step through the process of setting up a new email account in the                                                    Outlook Mobile app on iOS or Android.

 

 

                                      Replace example.com with your domain name

  1. Launch the Outlook app

  2. Select Get Started 

  3. An Add Account screen will appear, enter your email address and select Continue

  4. Select the ? icon on the top right-hand side of the screen, select Change account provider

  5. On the Add Email Account screen select IMAP

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

  6. Complete the following fields:

  • Email address -- type in your full email address (in lowercase)

  • Password -- type your email password (forgotten passwords can be reset in konsoleH)

  • Display name -- Your full name (eg John Smith)

  7. Complete all Advanced Settings

IMAP Incoming Mail Server – mail.example.co.za

  • IMAP Username is the full email address

  • IMAP Password is the mailbox password

  • SMTP Outgoing Mail Server - smtp.example.co.za

  • SMTP Username is the full email address 

  • SMTP Password is the mailbox password 

  8. Select the ✔ icon in the top right-hand corner

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

 

  9. A message will appear that reads ‘Attempting to log in…’

  10. The next screen -- Account added -- will confirm that the email account has been added successfully

  11. If you would like to add another email account, select Continue. If not, select Skip

  12.An email tutorial will appear; by selecting Skip you will be taken directed to your inbox. Alternatively,

       your inbox will appear after the tutorial.
